The four layers

For 2026 planning, most U.S. events fall into three bands before fees and bar: roughly $15–$30 per guest for drop-off or box lunch, $45–$85 for staffed buffets and standard receptions, and $100+ for premium plated menus with top-shelf bar programs. Your city and service style move you up or down within those bands.

Bar packages in the calculator

Catering labor and ingredients cost more in some metros than others. When you enter a city, we match it to a BEA metropolitan area when possible and apply a regional multiplier to food and bar rates. If your town is outside any metro, we use your state average. With no city, you see a national baseline.

The donut chart “Fees & tax” slice is a directional allowance for invoice add-ons—not a line-by-line sales tax calculation for your county. Food fees scale with service style (drop-off is lowest; plated is highest). Bar fees scale with package tier. Regional BEA pricing adjusts menu rates before these add-ons—we do not stack a separate state tax table on top.

Treat it as a budgeting range, not a binding quote. We widen the total by about ±10% so the numbers read as a first estimate rather than false precision. Menu choices, season, venue logistics, and how a caterer itemizes service charge and gratuity will shift any real proposal. Use Food quantity on this page. Cooked protein is 4–6 oz for drop-off or box lunch, 6–8 oz for food stations, 4–10 oz for plated service, and 6 oz–1 lb for buffet (the buffet and plated bands are wide because formality is not an input). Plan 4–6 oz of starches and 4–6 oz of vegetables per guest, plus ½–1 cup of salad as a side. A full buffet often lands near 1–1.25 lb of cooked food per person.

Meat loses about 30–40% of its weight as fat and water cook off. The calculator shows cooked weight needed (what you serve) and raw weight to buy (what you purchase), using a 60–70% cooking yield so you do not under-order. Other calculators often give one ambiguous number; we keep the two figures separate.
